Improved Full-Text Search (Windows Server)
The latest version of FileLocator for full-text search is now integrated into timeSensor LEGAL.
Configuration
If you have administrator rights, you can configure the integration in the Settings... area, in the Admin/Special/System/FileLocator menu. The correctly installed FileLocator application will indicate this with a green dot.
To speed up the search, FileLocator uses indexing. If an index already exists, this is indicated by a second green dot. Otherwise, you can create, delete, recreate, or update the index here. Please note that the initial creation or recreation of an index can take several hours depending on the amount of data. Therefore, perform this operation preferably in the evening or on weekends.
The index must be updated after adding each document. You can have this automatic update performed immediately, hourly, or daily. If your server is powerful enough, the index update can be done faster; otherwise, it is recommended to update the index at night to avoid impacting database performance.
Usage
Once the FileLocator Index is built, you can search documents by content. Full-text search is available in the Documents Center, in the window Global Search, as well as in the Dossier and in the Case Folder. The following operators are available for complex searches:
- AND
Find documents where expression A and expression B occur - OR
Find documents where expression A or expression B occur - NOT
Find documents where expression A occurs, but not expression B - LIKE
Find documents where expression A occurs (tolerant search) - NEAR
Find documents where expression B occurs near expression A - REGEX
Find documents that match the specified regex expression
Further details about FileLocator can be found
here.
The speed of the search is determined by the amount of data and the performance of the Windows server. A machine with more than 2 cores is recommended.
Starting with this version, timeSensor LEGAL supports automatic filling of PDF forms. Here's how to proceed:
- Add a new template to your template collection by selecting New Template in the communication action button.
- Select Other File Type for your template.
- Drag your PDF form into the window

- Click on Output Options
- timeSensor LEGAL 365 now shows you all the fields contained in the PDF form in the left column.
- Double-click the field you want to fill automatically (in our example, the "Names" field).
- Specify the field or formula in the formula editor that pulls the desired information from the database. Contact your roll-out team if you need assistance.

- Save the template. You can now use it like any other template. The defined formulas are executed for the selected fields, and the PDF form already appears on the screen with these field contents.
Various Improvements
The new expression INV_INSERT ("service_providers") returns a list of all executives involved in an invoice, in the format <Short Code> Tab <External Name, Line 1>, sorted by the sort order of the users. The expression can also be used in the mandate context, where it returns the executives of the still unbilled services in the same way.
Under Windows, attachments to Outlook emails can now be dragged directly into the drop area. Previously, this was only possible for the entire email.
