Occasionally it might be useful to redirect the output of a template from the printer to a PDF file. An obvious approach is to print to a PDF printer driver (under Windows) or with the "save as PDF" option (under macOS). This can be easily done for individual documents, but what if a whole lot of documents need to be created as PDF documents in one go?

The lawyer's assistant has the task of preparing invoices periodically. For this purpose, timeSensor LEGAL offers the option of creating an invoice proposal. The billing proposals should be generated as PDF documents and made available to the supervisor electronically.
For this purpose, a collective folder should be created on the desktop in which all invoice proposals can be collected as PDF documents in one go and then forwarded electronically.
Note: You need administrator rights for the following steps.
Set up template
For our project, we first duplicate the existing template “Detailed billing proposal” and rename it “Detailed billing proposal PDF”.
Since we are saving the PDF documents all in the same folder, we need to make sure they have different names. That's why we use the "Priority name for drafts and archiving" field in the output options of the new template. Here we create a formula which consists of the fixed text “Billing proposal” and the mandate name field.
- Select "PDF" under "Print"
- Click the arrow next to the "PDF" menu to select the path to the destination folder, or hold down the Option/Alt key and click in the field to enter a destination location (see box).
Note: when selecting the target folder, keep in mind that in multi-user operation the same template will be used by different users. Do not select a local destination folder, as the path to it may not be valid on another workstation. For the destination folder, either select a folder on a shared network volume, or hold down Option/Alt and capture the desktop as the destination path. In the latter case, timeSensor will automatically create a folder called timeSensorPrint on the desktop of the respective workstation and store the documents here
Apply template
Now select a few mandates from the mandate list and print them using the modified template “Detailed billing proposal PDF”. The documents are now not printed, but saved directly as PDF documents in the relevant folder.
