Over the years, it may occasionally happen that you want to change the stationary of the entity. Whether due to changes in the returned information or a new layout. To make the following manipulations, you need access to the Settings of timeSensor LEGAL.
How do I change the stationary in templates?
Changing the stationary for 4D Write templates
Stellen Sie sicher, dass Sie das neue Briefpapier im SVG-Format (gemischte Systeme oder nur Windows) vorliegen haben. Möglich ist auch die Nutzung als PDF, but this only on Mac.
For compatibility reasons with different platforms, we always recommend using a file in SVG format.
Navigate to Settings... - Parameters - General - Stationary in timeSensor LEGAL.
Double-click the stationary you want to change. In our example, we will change the stationary for the letters. With a double-click you enter the Schemes Editor, where you can see the different stationary and their specifications. Click the small plus here to load the new file into timeSensor LEGAL. If you use a different layout for the first page of a letter than for the Subsequent Pages, you will see this here.
Double-click the template, a small window will appear where you can edit various information. Usually, you only need to replace the picture element here. So drag the SVG document you have prepared into the Picture field. timeSensor LEGAL will now replace the old image with the new one. If this picture element should only be printed on the first page, make sure that the checkbox is only set at First Page.
Confirm the changes afterwards with OK. If you only use one stationary for all 4D Write templates, you have already made all the necessary settings.
If you have a second stationary for the Subsequent Pages, then you have to repeat the whole process again for these. This applies to all stationary schemes you have stored (in our example we have two: Letter and Invoice case).
Embedding the new stationary in the invoice template
If you have stationary that is already linked in the Output Options of your invoice templates (usually Default), you don't need to do anything else.
If you want to link the new stationary now with the invoice template, open the desired invoice template in the Templates Editor via Parameters - Finances - Invoice Template - Templates Editor. Then set the stationary to be used for the respective template in the Output Options.
Changing the stationary for Word templates
If you also need to change the stationary in your Word templates, please make sure that you are familiar with the Word templates and have the folder with the Word macro on your computer. You can download it
here.
Unlike 4D Write templates, stationary for Word cannot be stored globally, but must be fixed in each individual template itself (and accordingly also changed). You must perform the following steps once for each Word template. Note that this also applies to each language. So if you use the same Word letter once in German and once in French, you must change the stationary for each language.
- Navigate to the Templates Editor and find your Word template. You can drag & drop the Word file either directly into the timeSensor_template folder or you can also take an intermediate step via the desktop.
- Now open the file while holding down the Shift key. The familiar macro dialog will appear, which you must accept.
- Activate the header with a double-click. Select the image stored there and delete it.
- Now drag your new stationary, the PDF which you have placed on your desktop, into the header.
- Word now recognizes the stationary as an image and will automatically bring it to the foreground, but for stationary you do not want this. So set the image to be placed behind the text.
- Now you can position the image. To do this, move the mouse to the upper left corner until the move cursor (four arrows) appears. Now drag the stationary to the corner. Then drag the bottom right corner into position with the cursor. If you hold down the CMD key while doing this, you can adjust it very precisely to the page.
- Now save your changes, preferably give the document a new version number (e.g. Word_Letter171207). Navigate back to your template collection and replace the old Word template with your new template by drag and drop. Since you labeled the document with a new number beforehand, you can now also see whether the document was actually replaced.
Since the Windows Operating System cannot natively display PDFs, the use of the SVG format is recommended. When converting from Word or PDF format to SVG format, there are basically two options:
- Creating the SVG by a graphic designer: Contact a graphic designer who will create the desired stationary in SVG format for you.
- Creating the SVG using an online converter: Use an online tool to create an SVG: https://image.online-convert.com/convert-to-svg
Please note that in converted SVG files, not all elements are always displayed as in the original file. Open the SVG file in the browser and check it before storing it in timeSensor LEGAL.
