How can I record services on the go with the Web Timesheet?

Background

timeSensor LEGAL 365 now offers, in addition to the classic timesheet built into the application, a Web Timesheet. The Web Timesheet can be accessed in a web browser and thus also used on portable devices such as an iPad or smartphone. The Web Timesheet is permanently synchronized with the classic timesheet. You can also use both timesheets in parallel.

Setup

To operate the Web Timesheet comfortably, it must be set up once. This means:
  1. Activation of the functionality in timeSensor LEGAL 365
  2. Integration of the Web Timesheet with Microsoft 365 (optional)
  3. Adding the Web Timesheet to the smartphone's home screen (optional)
  4. Setting up a passkey (optional)
The integration with Microsoft 365 allows authentication via the Microsoft 365 login. This has the advantage that you do not need an additional password to log in.

Setting up a passkey allows the use of biometric authentication on smartphones or other suitably equipped devices (e.g., fingerprint or camera). This has the advantage that you do not need an additional password to log in.

To activate the functionality:
  1. First, navigate to Settings - Admin - Special - System
  2. Click the following button at the bottom of the window Web App Settings
  3. Activate the desired functionalities there
  4. Once you have completed the activation, save your settings

After the corresponding functionalities have been activated, you can access the Web Timesheet by entering your timeSensor LEGAL 365 server address/network address in the browser. For example:


Login

You can then log in online as usual with your timeSensor LEGAL 365 login data, via the configured biometric authentication (passkey), or via Microsoft in the Web Timesheet.



Recording Services


Recording a single service

To record individual services in the Web Timesheet, proceed as follows:


1. Select Add entry to record a new service.
2. Select the date and the case for which you want to record the service.
3. Enter the service code, time spent, and service text. Similar to the timesheet integrated in timeSensor LEGAL 365, the time can also be entered immediately after the service code here. Example: h73 for 73 minutes of file study.
4. Add details to the service if applicable. These will be transferred to the details column in the timesheet and will not appear on the invoice case.
5. The checkbox for the billability of the service is automatically set according to the setting at the case level of the case. Therefore, an adjustment is only necessary if, for example, a billable service is recorded on a non-billable case.


Recording multiple services via the timer function

Click the function button Start timer to start a new timer.
A timer starts running. The service for which the timer is running can be paused, finalized, or deleted via the buttons on the right. When the entry is finalized, i.e., finally recorded, it is moved down to the list of already recorded timesheet services.

Any number of timers can be started simultaneously. The dot next to the time display, as well as the stop and play symbols, indicate running or paused timers.

A preselection of the service is not necessary. This is practically used, for example, when a phone call about another case is received in the middle of a file study. The first timer can be started when the file study begins, paused when the phone is answered, and a second timer started. After the phone call ends, the case for the second, already running timer can be conveniently recorded afterwards.If no case is selected yet, the entered service text is displayed instead of the case name.





By clicking the Send or Save button for the timer service, it is transferred both to the lower part of the Web Timesheet and synchronized with the timesheet integrated in timeSensor LEGAL 365.

If necessary, the service can be reopened and modified.
