Another tool in timeSensor® LEGAL is the deadline and follow-up management system. In this tool, you can enter, manage, link your deadlines and follow-ups to the corresponding mandate, and receive a reminder from timeSensor.
Deadline and Follow-up Management
You can find this feature in your personal area under the Deadlines/Follow-ups button.
Structure of the Deadline and Follow-up Management
1. Select for which employee you want to see the deadlines/follow-ups.
2. You can see here which employees are involved in the deadlines/follow-ups.
3. You can filter by categories here (which you can create yourself).
4. Deadlines/follow-ups are displayed by month. You can navigate between months or select an annual view.
5. Various lists are available here if you want to print deadlines/follow-ups.
6. With this action button (gear symbol), you can open a dossier or mandate or duplicate deadlines and follow-ups. Select a deadline or follow-up for this.
To simplify working with deadlines and follow-ups, right-clicking on a selected deadline opens the following menu:
The Traffic Light System
Deadlines are represented by a dot, and follow-ups by a flag.
Deadlines and follow-ups are marked with a traffic light system:
- Red: needs urgent action
- Yellow: needs action soon
- Green: still a few days until due
- Urgent deadlines are also marked with a red dot and cannot be extended.
Adding a Deadline or Follow-up
With the plus and minus icons, you can create or delete deadlines/follow-ups.
Click the plus icon and choose whether you want to create a deadline or a follow-up.
Enter all relevant details for the deadline at the top - name, date, subject.
The subject includes the mandate and client associated with the deadline/follow-up and can be modified with the action button.
Further down, you can define for whom the deadline/follow-up is. Simply click on the corresponding name. You can select multiple people.
Use the action button to make a group selection.
With the arrow icon, you can also define whether it's a regular deadline or a legal deadline.
A legal deadline always appears with a red light, and the date can no longer be changed.
Details / History
In the Details / History section, you can add remarks to the deadline/follow-up.
Use the action button to fill the field with suggested values.
To adjust the field properties for the suggested values, select "Modify" via the action button, add the suggested values, and confirm.
Categories
You can optionally categorize your deadlines and follow-ups.
These categories can be defined via the "Edit" button. Click the plus icon to add a new category or the trash icon to delete it.
Reminders
With the reminder function, you instruct timeSensor® LEGAL to remind you about a deadline or follow-up.
This can be issued as a warning, a ticket, or both. Select the time interval before the deadline/follow-up for the reminder.
Deadline Calculator
You can also calculate a deadline using the integrated calculator. Open it by clicking on the small triangle at the top right.
Enter the event date and the number of days. You'll find an action menu with standard deadlines that you can select.
Define the start, end, and options.
If you understand that you use this tool at your own risk, you can now generate the deadline.
Check the deadline and save it.
Note that timeSensor® LEGAL does not guarantee the accuracy of calculated deadlines, and it must be verified by you. You alone are responsible for meeting the deadline.
Checking the Deadline
Once a deadline is entered and saved, it appears in the deadline window with its corresponding color and a question mark.
This question mark means that no second person has yet verified the deadline's accuracy.
A second person from your team must open, check the deadline, and then save it as verified.
If you choose to check the deadline yourself, you will receive a notification.
Completed Deadline or Follow-up
Double-clicking on a deadline or follow-up in the overview will open it. You can then check the "completed" box.
The deadline will appear with a green checkmark in the deadline window, indicating it has been completed.
